When and how can I book the hive?
Bookings must be a minimum of 5 days in advance of propsed activity. Please allow a minimum of 72 hours between the submission of your booking and your booking confirmation.
Please fill in the below form in full. Failure to declare accurate information for the type of activity may result in the booking being revoked.
Clubs and Societies
If you are part of a Club or Society, you must provide us with the following before booking a stall:
- A detailed risk assessment
- If serving food: Food Hygiene Level 2 Certificate (certified by Rospa or City and Guilds)
- Follow the fundraising policy here when raising money for either your society or for a charity. This includes gaining charity approval via an official email or letter.
If you plan to sell food in the Hive, you must demonstrate how you will safely store your food in your risk assessment, for example, if things need to be kept hot, as well as displaying a list of ingredients and allergen information. If you are selling meat in the Hive, you must indicate whether this is Halal or not. All electrical items must be PAT tested if they were purchased more than two years ago.
Businesses or students not in a club or society
If you are an individual student or an unofficial student group, you must provide us with the following before booking a stall:
- Public Liability Insurance (PLA)
- A detailed risk assessment
- If serving food: Food Hygiene Level 2 Certificate (certified by Rospa or City and Guilds)

Please note
Your booking is NOT confirmed until you have received an email confirmation from uea(su) reception. If you are allocated a Hive booking, you must report to the SU reception so that they can provide you with a trestle table (6ft x 1ft). You must not set up a table yourself. If you do set up a table yourself, we reserve the right to revoke your stalls. This is due to accessibility and health and safety regulations.
Hive stalls are free to societies and clubs, however, individual students, alumni, UEA staff and external businesses will be subject to a booking fee . The details of this will be discussed with you on receipt of your booking request.
